What a program gets
Fast sign-in
A 4-digit family code or a printed QR card on a large-key tablet; staff clock in on the same screen. Works offline and syncs later.
Authorized adults at pickup
Only adults the family listed can sign out; a court order on file blocks and alerts. Every record shows who signed.
Groups, sessions and drop-ins
Children belong to groups and sessions; a drop-in day is recorded as one and billed from the attendance.
Simple billing
Session fees, drop-in and late-pickup fees from attendance, invoices and online payment with autopay, all optional.
How it works
A camp day
Morning drop-off
Families tap in at the tablet in the program's language or their own; the board shows each group's count and staff.
During the day
A roll call shows who is in right now, by group, for an emergency; allergies and emergency contacts are there for the staff who may see them.
Pickup
The adult types the code, picks their name, and the record is done; a late pickup is flagged and can carry a fee.
Questions
Questions programs ask
- Do we need special hardware?
- No. Any tablet with a browser becomes the door; printed QR cards are optional.
- Can parents check in from their own phone?
- No. Presence at the door is the default and HubiCare does not offer check-in from a parent's phone today; a staff screen covers the bus and the gym.
- Does it do licensing rules?
- Minnesota rule packs apply at sites licensed as child care. A program that is not licensed child care runs without them.
